POSITION: Lease Administrator/Assistant (Temporary)
REPORTING TO: Vice President, Edmonton
LOCATION: Edmonton, Alberta
Responsibilities:
Prepare correspondence, memos of a confidential, strategic and/or specialized nature from handwritten material;
Attend and record minutes of bi-weekly management meeting;
Code and enter expense reports;
Maintain and post documents on the internal employee website for the Western Region such as monthly reports, organizational charts, employee directories, etc.
Type offers to lease, proposals and presentations.
Assist in coordinating and providing information to various clients as required, responding to requests in a timely fashion;
Monitor project commitments and deadlines;
Create and manage broker and client information databases, marketing packages and mail-outs;
Update and maintain leasing reports and budgets for both internal and client use;
Maintain electronic leasing files including, but not limited to, brochures, site plans, photographs and correspondence;
Update building stacking plans on a monthly basis;
Process invoices and expenses for leasing commissions, marketing expenses and other related items;
Develop leasing presentations, marketing brochures and other desktop publishing activities;
Post brochures and property availabilities on the company website;
Process credit reports, corporate registry and land title search requests;
Coordinate travel arrangements, broker and staff social events;
Coordinate with IT department to provide end user support at the branch level;
Ensure consistent office management processes are established and adhered to throughout the Edmonton branch offices;
Reception relief as required;
Other duties as assigned.
Qualifications:
Experience - 5+ years of related administrative experience, ideally with experience in real estate, leasing would be an asset.
Education – High School diploma supplemented with a College diploma; University degree preferable.
Relationship Skills – Superior oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships with clients, tenants and internal staff; ability to exercise confidentiality.
Organizational/Multi-Task Skills - Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise in the absence of the manager; detail-oriented.
Computer Skills - Advanced skills in Word, PowerPoint, Excel and desktop publishing software, typing speed of 60 WPM (minimum) with proficient proof reading skills (spelling, punctuation and grammar).
